EB-IMS offers a unique blend of back office integration and frontline client access, communication and support. Our powerful tools is targeted at our customer’s clients. The goal is to ensure a smooth and accurate dissemination of data from business to client. These communications need to be timely and detailed while still allowing a range of users to access the system 24hours a day.
The system comes with custom settings, this ensures our customers are able to tailor the experience of their clients while on the system, such customisations as
Dashboard – The dashboard provides a snapshot of the portfolio’s current status.

Reports are directly related to the systems clients have been presented in one page. The reports that are displayed are:
• 001 – Client portfolio valuation report
• 002 – Monthly Summary of total portfolios
• 003 – Review and Recommendations
• 004 – Daily Client Valuations
• 006 – Summary Sheet of Asset Allocation
• 007 – Summary Performance Fees
• 018 – Outstanding Units
• 019 – Client Investments
• 020 – Management Fee Computation
Unread messages are shown in bold. The first column of the table represents the status of the message that can be Unread, Read or Replied. The Attachments column denotes whether the message contains attachments and can be either No or Yes. If a message has multiple attachments, a count of attachments is shown within brackets. The Actioned column denotes whether the message has been marked as actioned.
A notification denoting the number of unread messages is also shown on the menu item Messaging.
The Admin Inbox lists all the messages circulating within the system. Should the user delete a message, this same massage will still appear in the Admin Inbox. This allows System Administrators to keep track of all messages being sent and received.
The circular button on the top right hand corner of the below screen shot allows the user to create a new message.
While creating a message, the user is required to fill in the form. The recipient’s field allows the user to select multiple recipients from a dropdown list. Users can be given access to send messages to clients by marking the Client Messaging tick box in the System User edit screen (refer to System Users section above).The subject field is a conventional text field. The message body can be formatted using the provided formatting toolbars. This formatting is stored and displayed back to the recipient. When creating a message, the user is also allowed to add multiple attachments. This can be done by clicking the Browse button at the bottom left hand side of the screen. Attachment file extensions are limited to ‘.pdf’. Once done the user clicks the Send button to send the message to the selected recipients. The recipient will also receive an email notification.
When reading messages a user is provided with the capability of Replying to a message, Forward a received message, Delete a message and Print a message. All these operations are achieved by using the respective button on the top right hand corner as shown in above screen shot. When forwarding a message, any attachments are included with the new message. This can however be changed by ticking the Remove Previous Attachments tick box underneath the message body when creating the new message. Another operation available to the recipient is marking the message as Actioned and Not Actioned. This is done by using the toggle button which is red for Not Actioned and green for Actioned. When actioned, the message is time stamped for records purposes.
Messages being sent within eBIMS may contain data which may be deemed too sensitive to be stored permanently. In such cases, message contents can be removed without deleting the message record itself. This process is known as Scrubbing a message.
When sending a message, internal users may opt to mark messages to Auto-Scrub. Such messages will be automatically scrubbed after a set number of days. Users will receive a notification that their unread messages will Auto-Scrubbed 24 in advance.
In addition messages can be marked to scrub by clicking the Scrub Contents button on the message view screen. When a message is marked to be scrubbed, a notification email is sent to both sender and recipient. Messages marked to be scrubbed will be scrubbed at midnight.
The communications area provides internal users with the ability to upload PDF documents to be shared internally or with clients. To access the communications area users click on the Communications button on the main menu.
Selecting an item will enable a user to perform additional operations as follows:

Alternatively one can use the context menu to perform the above operations. To display the context menu right click on the list of items.
To open a folder/file one must double click on the respective item. This opens the file into an integrated viewer. To close the viewer, click the X button.
The directory provides the following operations:

The directory also provides functions through the context menu. The context menu can be access by using the right-click on the respective directory entry. In addition the directory provides the option to move items from one folder to another using a drag and drop function.
